Terms of Service

Effective date: May 30, 2026

1. Services

Cairos Systems provides AI-powered receptionist and lead-management services for HVAC businesses that answer calls, capture and organize lead information, and deliver notifications to clients. The Services are provided on a business-to-business basis.

2. Eligibility and accounts

You must be authorized to act on behalf of the business you register. You are responsible for the accuracy of the information you provide and for maintaining the confidentiality of any account access.

3. Client responsibilities

You agree to use the Services lawfully, to provide accurate business and contact information, to obtain any consents required for us to contact you and to handle your customers' information, and not to misuse or interfere with the Services.

4. SMS terms

By providing your mobile number and opting in, you consent to receive operational SMS notifications related to your business account, including new-lead alerts and related activity. Message frequency varies with your call and lead volume. Message and data rates may apply. Reply HELP for help or STOP to opt out at any time. Consent to receive messages is not a condition of any purchase.

5. Implementation and availability

Implementation timelines depend on timely access to required account information, approved phone and messaging configuration, third-party provider availability, and successful testing. Cairos Systems will use commercially reasonable efforts to operate the Services reliably, but call handling, messaging, and automations may be affected by carrier, network, software, or third-party-provider issues outside our control.

6. Acceptable use

You may not use the Services to engage in unlawful, deceptive, or abusive activity, to send prohibited content, or to violate the rights of others or the rules of carriers and messaging providers.

7. Fees

Fees, if any, are as agreed between you and Cairos Systems. Unless otherwise stated, fees are non-refundable except as required by law.

8. Limitation of liability

The Services are provided "as is." To the maximum extent permitted by law, Cairos Systems is not liable for indirect, incidental, or consequential damages, or for missed calls, delayed messages, or lost leads arising from factors outside our reasonable control, including carrier, network, or third-party-provider failures.

9. Termination

Either party may terminate the Services with reasonable notice. We may suspend or terminate access for violation of these Terms or for unlawful or abusive use.

10. Changes

We may update these Terms from time to time. Continued use of the Services after changes take effect constitutes acceptance.
